Responsible use of artificial intelligence
Phoenix STS uses artificial intelligence tools to support administration, drafting, research, document control and knowledge management. People remain responsible for decisions and for the work issued to clients and learners.
Human direction and responsibility
A member of staff defines the task, reviews the output and decides how it will be used. Professional fire safety and health and safety advice, training and assessment remain subject to the applicable competence, evidence, review and approval requirements.
AI assistance does not establish professional verification. Citations, legal statements, standards references and factual claims must be checked against authoritative sources before issue. The involvement of an AI tool does not reduce the required evidence standard.
Decisions affecting people
Final decisions with a legal or similarly significant effect on a person must not be made solely by automated means. Learner results and client deliverables remain subject to the relevant assessment, approval and competent-person review arrangements.
Confidentiality
Personal data, special category data, confidential client information and unpublished technical reports must not be entered into unapproved AI tools. Approved tools and uses remain subject to the company's information-security and data-protection controls.
Transparency and provenance
Phoenix STS answers honestly when asked whether AI assisted in preparing work. The account should describe the assistance actually provided and the human review undertaken. Provenance information must not be concealed or manipulated.
AI-generated material must not be presented as verified professional judgement without the responsible competent person reviewing and standing over the work. Questions about a particular deliverable can be sent to info@phoenixsts.ie.
Concerns
Concerns about accuracy, confidentiality or the use of AI may be raised through info@phoenixsts.ie. See the privacy policy and complaints procedure.
